1. Information we collect
We collect information you provide when you register, book a consultation, or submit a university application through our platform. This includes your name, email address, phone number, nationality, academic records, English proficiency scores, passport details, and financial information required for visa applications. We also collect usage data such as pages visited and consultation notes.
2. How we use your information
We use your information to match you with suitable universities and destinations, process your applications, provide visa guidance, communicate updates on your application status, and improve our services. We do not sell your personal data to third parties.
2.2 Information from Meta Platforms
We may receive information from Meta Platforms (including Facebook and Instagram) when you interact with our services through Meta's platforms or sign in using a Meta account. This information may include your public profile, email address, and interaction data. This data is used solely to authenticate you and provide our service, and is never sold to third parties.
3. Sharing with universities and partners
To process your application, we share relevant personal and academic information with the universities you apply to and, where required, with visa authorities and embassies. We share only the data necessary for each specific application. Every university we share data with is bound by its own privacy policy and applicable data protection laws.
4. Data sharing with service providers
We may share your information with technology service providers who help us operate our platform (e.g. cloud hosting, email delivery, analytics). All third parties are contractually bound to protect your data and may not use it for their own purposes.
5. Sharing across Empire brands
Empire Overseas Education is one of several brands in the Empire group, alongside EmpireO.AI, Learn With Empire and our recruitment platform. If you accept our terms and verify your email address, we record your consent for those brands to reuse the profile you have already given us, so that you are not asked for the same details twice. That consent is recorded for the group as a whole, so it also covers brands the group launches in future. Nothing is shared until your email address is verified, and we never use this information for advertising or sell it.
5.1 What may be shared across Empire brands
Profile details limited to: your name, date of birth, nationality, country of residence, city and state, highest qualification, institution, academic score, field of study, year of completion, English test and result, preferred study destinations, intended intake, level of study, and a link to your CV. Where you have uploaded them, we may also make available your CV, passport, photograph, 10th and 12th certificates, degree certificate, academic transcript and English test report. Consent for documents is recorded separately from consent for profile details, so one can be withdrawn without the other.
5.2 Withdrawing cross-brand consent
When you use another Empire brand and verify your address there, that brand may retrieve the details above and show you what it found, labelled with the brand it came from. It is saved into your profile on that brand only if you choose to apply it. To withdraw this consent, email privacy@empireoe.com. Any document link already issued to another brand is checked against your consent each time it is used, so withdrawal also stops further access to documents already shared.
6. Data retention
We retain your account and application records for as long as your account is active or as needed to provide services or comply with legal obligations. You may request deletion of your personal data at any time by contacting us. We will respond within 30 days. Note: application records that have been submitted to universities cannot be fully deleted.
7. Cookies
We use essential cookies to operate the platform (session management, security). We use analytics and personalisation cookies only with your consent. You can manage cookie preferences at any time via your browser settings or the cookie consent banner on our site.
Analytics is on. We measure how you use the site, and your name and email are shared with our analytics provider when you are signed in.
8. Your rights
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, as well as the right to data portability. To exercise these rights, contact us at the details below. If you are in the EU/EEA, you also have the right to lodge a complaint with your local supervisory authority.
9. Security
We use industry-standard encryption (TLS) for data in transit, and we encrypt sensitive personal data fields at rest. Access to personal data is restricted to authorised staff on a need-to-know basis. We conduct regular security reviews and promptly notify affected users of any data breach as required by law.
10. Children's privacy
Our services are not directed at children under the age of 16. We do not knowingly collect personal data from children under 16 without parental consent. If you believe a child has provided us with personal information, please contact us immediately and we will delete that information.
